Terms of Service

These Terms of Service (“Terms”) govern your access to and use of Candio, a product of High Fidelity Operations Ltd. (“Company”, “we”, “us”). By installing or using Candio, you agree to be bound by these Terms.

1. Service Description

Candio is a HubSpot-native applicant tracking system (ATS) that enables users to manage job postings, candidate pipelines, interview scheduling, and hiring workflows directly within the HubSpot CRM platform.

Candio is provided as a software-as-a-service (SaaS) application installed via the HubSpot App Marketplace. A valid HubSpot account is required to use Candio.

2. Account & Access

You access Candio through your HubSpot account. You are responsible for maintaining the security of your HubSpot credentials and for all activities that occur under your account.

You must be at least 18 years old and have the authority to bind the organisation you represent to these Terms.

3. Acceptable Use

You agree to use Candio only for lawful purposes and in accordance with these Terms. You must not:

  • Use the service to discriminate against candidates in violation of applicable employment law
  • Attempt to reverse engineer, decompile, or access the source code of Candio
  • Use the service to collect or store sensitive personal data beyond what is necessary for recruitment
  • Resell, sublicence, or redistribute access to Candio without written permission
  • Interfere with or disrupt the integrity or performance of the service

4. Payment & Billing

Certain features of Candio require a paid subscription. Fees are listed on our pricing page and may be updated with 30 days' notice.

Paid subscriptions are billed monthly in advance via Stripe. All fees are non-refundable except where required by law or as explicitly stated in these Terms.

If payment fails, we may suspend access to paid features after a 7-day grace period. Your data remains accessible via HubSpot regardless of subscription status.

5. Data Ownership

You retain full ownership of all data processed through Candio. Candidate records, application data, and hiring information are stored as native objects in your HubSpot portal.

We do not claim any intellectual property rights over your content. We access your HubSpot data solely to provide the Candio service as described.

6. Service Availability

We strive to maintain high availability but do not guarantee uninterrupted access. Candio depends on third-party services (HubSpot, AWS, Stripe) and their availability.

We may perform scheduled maintenance with reasonable advance notice. We will make commercially reasonable efforts to minimise downtime.

7. Limitation of Liability

To the maximum extent permitted by law, Candio and High Fidelity Operations Ltd. shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of profits, data, or business opportunities.

Our total liability for any claims arising from or related to these Terms shall not exceed the amount you paid us in the twelve (12) months preceding the claim.

8. Termination

You may stop using Candio at any time by uninstalling it from your HubSpot portal. Paid subscriptions can be cancelled at any time; access continues until the end of the current billing period.

We may suspend or terminate your access if you violate these Terms, fail to pay fees, or if required by law. We will provide reasonable notice where possible.

Upon termination, your data remains in your HubSpot portal. We delete our application-specific data within 30 days of uninstallation.

9. Intellectual Property

Candio, including its design, features, code, and documentation, is the intellectual property of High Fidelity Operations Ltd. These Terms do not grant you any rights to our trademarks, logos, or brand assets beyond what is necessary to use the service.

10. Changes to These Terms

We may modify these Terms at any time. We will notify you of material changes at least 30 days before they take effect via email or an in-app notice. Continued use of Candio after changes take effect constitutes acceptance.

11. Governing Law

These Terms are governed by and construed in accordance with the laws of England and Wales. Any disputes arising from these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
